The Basics of Order Entry
Jun 25, 2025
There are lots of complicated and advanced features of online courier software to aid in all aspects of your courier service, but the most important feature is also one of the simplest and most commonly used - entering orders. Knowing how best to enter orders and use all aspects of the feature will help your operations flow smoothly!
Pickup and Delivery
The first step when inputting a new order is by filling out the two addresses that the package will go between. For each address, both pickup and delivery, you can have a set of customers and locations, and each time you put in a new company’s information for the first time, it will be saved for future use. This way, if you are commonly working with the same customers and the same delivery locations, their addresses will be automatically stored within the system, making it easier to input their information on future orders! Once these addresses are set up, you can select which customer or which address is the one that will actually be charged for the order, or if it is charged to a third party. With this, it’s just a couple button presses to change the financing of each order!
Order Details
Now that the addresses and payment sides have been set up, it’s time to add some additional information about the actual contents of the order. You can fill out how many pieces are in the order as well as the total weight, which can be hooked up to pricing lists to change the total cost of the order. On top of that, each order can have a different service, package, and vehicle type selected for the delivery. These options are all customizable and can be made to fit whatever your company specifics are, and again can change how you dispatch and how you charge for this order. It’s important to be as accurate as possible here, as it makes payment and dispatching much more efficient and manageable! You can also add any special instructions you want your drivers to know about the order, which will pop up right alongside the order!
Timing and Pricing
Once all the additional information is put into the order, you can set the date and time the order will be ready at. For most orders, it’s common to have the order ready to go immediately, so as soon as you’re done with order entry, you can dispatch it out to a driver. But sometimes, customers will call in an order for later that day, or a different day entirely. That can easily be set up in the order entry panel on online courier software, and then will not be available for dispatch until that day or time comes. Now that all the information is set for the order, you can check the price before placing the order, to confirm that everything is set up correctly. Then, once you place the order, it’s ready to be dispatched out and on the road for delivery!

With online courier software, most orders that are placed will actually be by customers themselves via the online customer website, but there are still some orders that you and your team will field by phone or email, or any other way your company receives them.
