Why Performance Reports?
With online courier software, there are many different types of report and invoice templates available to generate and compare. So when should you use performance reports? Performance reports are great when you want to view, well, performance, specifically in the time it takes to carry out different parts of the orders. For example, with performance reports, you can quickly see if deliveries are being carried out slower than they are expected to, or if a certain driver seems to be taking a lot longer than others. These are also a great way to compare different service types to help you evaluate if your ‘Rush’ orders are actually being carried out at a faster pace than your ‘Standard’ orders, for example. With lots of customization about how and when to run these reports, you are always able to get crucial information about how every section of your company is running!
Running Reports
To run reports, all you need to do is go into the system, open up the reports section, and put in your parameters. These reports will automatically pull from all the orders and deliveries that have been done through the system, so you don’t have to worry about cobbling together tons of different spreadsheets or documents, and can instead just click a few buttons to get all the data right at your fingertips! With these performance reports, you can choose to compare the actual pickup and delivery times with a number of different other times set by you or the customer, for example the ‘ready’ time (when the order popped up on dispatch) or the ‘deliver by’ time (the latest the delivery is supposed to arrive). You can also compare the time the order got dispatched as well, and can pick and choose between all these options based on what you’re trying to see. You can also choose to group by customer or by driver, depending on if you want to view driver performance or expectations of reaching customers, and can further filter that by generating a report for one specific driver or customer, or all of them at once. Finally, you can select the date range, which can be over the last few days or a multi-year review, again, set up to work for whatever you need!
Report Values
Once you have input all the parameters you want to view, you can run the report, which will collect data from all the orders within your filters. Depending on how you broke it down, you could be looking at a couple dozen orders or thousands of them! These reports offer the elapsed time between the sets of times you selected, for example the amount of time during each order that spanned the time from when the order was ready to when it was picked up, or the time difference between the actual delivery time and the planned delivery time. It will then simply tell you if each delivery met the goal or not, which means if it was delivered before it was supposed to be or not. Below the breakdown of every individual order, there will be a total overview of every service type, the average pickup elapsed time, the average delivery elapsed time, and the percentage of orders that met the goal. This way, you are able to set standards for your team for different delivery types and can quickly glance at these values to see if those expectations are being met!
